HR & Operations Assistant (E-Commerce Agency)

ABOUT THE ROLE
Our client is a leading, US-based e-commerce digital marketing agency working with ambitious DTC brands to scale revenue through performance marketing, creative, and optimization. We’re looking for a sharp, structured HR & Operations Assistant who will help keep the engine running smoothly for this agency. You will support people operations (HR admin, team rituals, documentation), operational execution (systems, tracking, follow-ups), and founder & Ops Manager support.
This is not a passive admin role. This is for someone who loves structure, clarity, checklists, and closing loops.
You'll thrive in this role if you love structure, clarity, and order (and don't need constant supervision), and you constantly identify problems early and fix them without drama. On the other hand, you'll hate this role if you avoid responsibility, dislike enforcing standards, need daily hand-holding, or prefer “flexible vibes” over clear systems.
KEY RESPONSIBILITIES
- Maintain HR records, contracts, NDAs, and onboarding documents
- Support onboarding & offboarding of team members
- Track holidays, sick days, availability & leave policies in ClickUp
- Log warnings, PIPs, and HR notes accurately and confidentially
- Support performance review cycles (6-month reviews, check-ins)
- Ensure team rituals are followed (Monday Focus, Friday Reflection, reviews)
- Keep ClickUp spaces, tasks & SOPs clean, updated, and enforced
- Follow up on missed deadlines, incomplete tasks, missing reports
- Maintain internal SOP documentation & templates
- Support time tracking & productivity tools (Clockify / ActivTrak)
- Assist with invoicing, contracts, document collection where needed
- Act as a reliable execution layer between Founder, Ops Manager, and team
- Prepare summaries, reports, and internal updates
- Handle operational to-dos so leadership can stay focused on growth
- Flag risks, gaps, or recurring issues before they become problems
QUALIFICATIONS
- Bachelor’s degree in a relevant field
- 3+ years experience in operations, HR admin, or agency support
- Strong experience with ClickUp, Slack, Google Workspace
- Extremely organized, reliable, and detail-oriented
- Comfortable enforcing rules & following up (even when it’s uncomfortable)
- Excellent written English
- Able to work independently and own your domain
- Ability to work in Central European Time, Monday through Friday (40 hours per week / 8 hours per day)
- BONUS: Experience in a marketing or creative agency, experience working with e-commerce brands, familiarity with performance tracking, SOPs, HR processes, and experience with Typeform, Notion, Clockify
