About the Role
We’re looking for an experienced, reliable, and extremely hard-working Executive Assistant to support a VC-backed, US-based digital health startup with administrative and operational tasks. Your goal will be to take as many tasks off the executive's plate as possible, helping them optimize/save time and support the growth of the business. You'll need to have exceptional organization, communication, and problem-solving skills to excel in this role.
Responsibilities
Invoicing and Billing (20% of time):- Following up with Brands about late invoices
- Reviewing Bank Statements to mark invoices as paid in our billing platform
- Communicating with brands about transitioning billing softwares (Bill.com to Recurly for ~150 brands)
- Updating internal trackers with shipment arrivals
- Track when all of the Reviews have been completed and follow-up with a a QA process of the reviews
- Update review # needed after new reviews come in on a rolling basis
- Remove Completed Reviews from Sales Rep form for good tracker hygiene
- Reviewing our example review count and adding additional information to our trackers based on that count.
- Act as the right hand for all administrative and operational tasks, helping save time and resources
- Manage/organize email inboxes and calendars, including prioritizing calls/meetings based on business needs and scheduling travel/itineraries as requested
- Act as the main point of contact for various projects, including corresponding with third-parties, coordinating and prioritizing meetings, and organizing events from start to finish
- Create knowledge bases, SOPs, and other documents based on business needs
Qualifications
- Bachelor’s degree in a relevant field
- 4-5+ years in an executive assistant/operational/admin role
- Professional fluency in English with excellent written, reading, and speaking skills
- Proficient in Slack and Google Workspace; experience with project management tools is a plus
- Ability to handle confidential information and anticipate needs
- Ability to work in US time zone, 8 hours per day
